Guidelines for Editors of Camera-Ready Proceedings


Preparing Your Proceedings


These pages should be read very carefully.  They contain a summary of procedures, instructions on preparing indexes and contents lists and a final checklist.
In the interest of rapid publication please ensure that you have prepared correctly all of the material listed in this guide.  Poorly prepared typescripts may have to be returned for further work to be done on them and therefore they may suffer long delays in production. Our editorial staff will do minimal formatting of the typescripts and they are unable to begin work on a project until all of the material has been received.

Collection of Contributions
Ensure that the contributors are aware of the submission arrangements and instructions for preparing the papers. A template and template instructions and Authors Instructions for Camera-Ready Copy are available from this website to help them prepare the papers (see Guidelines for Authors in Camera-Ready Proceedings).

You should also send each contributor a Copyright Declaration (Licence to Publish).

On Receipt of a Contribution
Read through the contribution, make any necessary editorial corrections and check that the paper has been typed according to the Society's specifications (see Authors Instructions for Camera-Ready Copy for details), the most important of which are: 

  • typeface Times 12 point
  • correct text width (155mm)
  • single line spacing
  • All figures/tables are in their correct place, not gathered at the end
  • Headings are all the right style.  

If required, return to contributor for amendment. However, it may be quicker and easier to amend the chapter  yourself instead of returning it to the contributor.

Ensure that the contributor has returned a signed Copyright Declaration.

When all the Contributions are Correct
Arrange the contributions in the sequence in which they should appear in the book, preferably in sections or structured along the same lines as the meeting.  (Pagination is not required)

Type in camera-ready format:

  • Preface (a brief explanatory statement giving the aims, description of contents, structure of the book, etc., rather than full details of the meeting itself).
  • Contents List (template below). This must be supplied electronically so that the page numbers can be added at the RSC after pagination.  

Please also supply 

  • a list of names and addresses of contributors with an indication of the author to whom the complimentary copy of the book should be sent.
  • a list of names and addresses of all the meeting participants, in label format if possible.
  • a draft for the title page (for subsequent typesetting) giving the title of the book and the names and affiliations of the editors in the form and order in which you wish them to be presented.
  • a competed Marketing Support form
  • Suggestions for the front cover illustration. This should be in full colour, suitable to fill a square of 136x136mm and free of any copyright restrictions. The minimum resolution acceptable is 300dpi. This suggestion will be used at the discretion of the RSC.  

When All of the Material has been Prepared
Please use the checklist below to ensure that all of the material is complete:

  • Draft title page
  • Preface
  • Contents list 
  • Two copies of the complete camera-ready typescript (including artwork) (top copy and photocopy of each paper not stapled or folded)
  • List of contributors' names and addresses
  • List of participants' names and addresses
  • Marketing support form
  • It is also useful if the electronic versions for all this material is also supplied.
  • Complete set of authors' copyright declarations
  • A cover illustration suggestion  

Please use this list to ensure that all of the material has been prepared and send it with all of the items listed above to:

Index
After submission, you will be sent a paginated copy of the proceedings. This should be used to create the subject index (instructions are available in the PDF below). This should be supplied as a Word Document for formatting at the RSC and should include all entries, sub-entries and page numbers as appropriate. This should be returned within three weeks of receiving the paginated copy.
